2. Scope and key terms
“Personal data” means information about an identifiable individual, as understood under applicable data-protection law. It may include a name, telephone number, email address, educational details, enquiry information, or online identifiers that can be linked to an individual. “You” means a visitor, prospective student, student, parent or guardian, or another person who interacts with us.
This Policy should be read with any applicable terms and conditions, enrolment documents, form-specific notices and consent choices presented to you. If a particular form or service provides a more specific privacy notice, that notice will explain the processing associated with that form or service.
3. Personal data we may collect
Depending on how you interact with us, we may collect the following categories of information:
- Contact and identity details: name, mobile number, WhatsApp number, email address and, where relevant, parent/guardian contact details.
- Education and enquiry details: current educational stage, qualification or class, preferred course, entrance examination of interest, learning mode, counselling request, questions and information you choose to provide.
- Communication records: details of calls, emails, WhatsApp messages, form submissions and other communications with us. Call recordings or transcripts will only be collected if the relevant system is used and the required notice and legal basis are in place.
- Enrolment and service records: programme or batch selected, attendance, academic or assessment records, service history and payment-related records, to the extent relevant to a service you request.
- Technical and usage information: IP address, browser/device information, referring page or source, timestamps, pages viewed, interactions with forms or buttons, and similar logs or analytics data, where collected by the website or its tools.
- Preferences and marketing choices: requested follow-up, communication preferences, consent or opt-out status and the programmes or resources in which you have expressed interest.
- Information provided voluntarily: feedback, testimonials, survey responses or other information you choose to send us.
Please do not submit Aadhaar numbers, identity documents, financial account details, health information or other sensitive information through a general enquiry form unless we specifically request it for a lawful and necessary purpose through an appropriate process.
4. How we collect information
- Directly from you when you complete a counselling, course-enquiry, demo-class, mock-test, registration or contact form.
- When you call, message, email, visit or otherwise communicate with NSG Academy or its authorised representatives.
- When you enrol in, attend or use an online or offline programme or related service.
- Automatically or through website technologies, including Google Analytics, Meta Pixel, cookies or similar technologies, and our internally developed CRM, where applicable. The specific information collected depends on the tools and settings enabled.
- From a parent or guardian, where they contact us on a student’s behalf, or from a service provider supporting a service you have requested, where lawful.
5. Why we use personal data
We may process personal data for the following purposes, subject to applicable law and any consent required:
- To respond to course enquiries, counselling requests, requests for information, demo-class requests and other communications.
- To understand your educational interests and provide relevant information about programmes, learning modes, exam preparation and services you have asked about.
- To arrange and conduct counselling, demonstrations, admissions-related assistance, enrolment, teaching, assessments and student support.
- To administer our website, improve usability, diagnose technical issues, understand aggregated traffic and improve the relevance of educational content.
- To understand which course or exam pages are of interest and prioritise follow-up enquiries, as explained in Section 6.
- To send service-related communications, such as appointment confirmations, class updates, changes, support messages or information necessary to deliver a requested service.
- To send promotional or marketing communications about courses, batches, events, resources or offers where permitted and subject to applicable consent, preference and telecom requirements.
- To maintain records, prevent misuse or fraud, protect our rights and systems, comply with legal obligations and respond to lawful requests.
6. Website activity, analytics and lead prioritisation
When you visit our website, we may collect information about how you interact with it, subject to applicable law, the settings and permissions provided, and the technologies enabled on the relevant website. This may include pages viewed, referring source or campaign, timestamps, browser or device information, cookie identifiers, and interactions with enquiry forms.
NSG Academy may use Google Analytics, Meta Pixel, cookies and its internally developed customer relationship management system (“CRM”) to measure website use and advertising performance, understand educational interests, manage enquiries and organise follow-up. Where configured, relevant website activity may be associated with enquiry information in our CRM. The information processed depends on the tools enabled and their configuration and settings.
Google Analytics may help us understand website traffic and how visitors use our pages. Meta Pixel may help measure visits or actions following advertisements and support remarketing or audience creation on Meta services. Cookies and similar technologies may support essential functionality, remember preferences, measure performance or support analytics and advertising. Our CRM may record enquiry details, course interests, communications, enquiry status, follow-up history and lead-priority categories.
We may use website activity together with information you provide to understand your educational interests and prioritise follow-up enquiries. For example, a person who explores pages about a particular entrance examination or skills programme may be prioritised for a relevant counselling follow-up. Our team may internally describe enquiries as “cold”, “warm” or “hot” leads. This classification helps organise responses and is not, by itself, a guarantee of admission, eligibility, course suitability or any academic outcome.
Where required by applicable law, we will provide appropriate notice and obtain consent before enabling non-essential cookies, advertising pixels, remarketing or other tracking technologies. Our cookie-consent banner or preference mechanism should explain relevant purposes and allow users to change or withdraw choices. Non-essential tracking should not be activated before the required consent is obtained.
Google, Meta and other relevant providers may receive or process technical identifiers, event information or other data through their tools according to their configuration and their own terms and privacy policies. We will review relevant provider settings and data-sharing controls and limit collection and sharing to what is reasonably necessary and lawful.
We review the configuration of these tools and the information they collect to help ensure that their use is consistent with this Policy and applicable law.
7. Calls, WhatsApp, email and promotional communications
If you submit your contact details to request counselling, course information, a demo class or another response, we may contact you using the contact details you provide to deal with that request. Depending on your request and preferences, this may include a phone call, WhatsApp message, SMS or email.
Promotional communications will be sent only as permitted by applicable law and relevant consent, preference and telecom requirements. Submitting an enquiry should not be interpreted as unlimited consent to unrelated marketing. Where a separate marketing choice or consent is required, we will provide it through an appropriate notice or mechanism. We will honour applicable opt-out and do-not-contact requirements.
You may ask us to stop promotional communications by using an unsubscribe mechanism where available or by contacting us using the details in Section 15. We may still send essential service-related messages where legally permitted, such as a response to an active enquiry or information needed to deliver a service you have requested.
8. Cookies and similar technologies
Our website may use cookies, pixels, tags, local storage or similar technologies where these are enabled. They may support essential website functionality, security, traffic measurement, performance analysis, remembering preferences or marketing measurement. Where appropriate, information about the technologies used and their purposes will be provided through a cookie notice or preference tool.
You may be able to manage cookies through your browser settings and, where provided, our cookie-preference controls. Blocking certain technologies may affect some website features. We will obtain consent where required for non-essential technologies and will not describe a cookie, pixel or advertising tool as active unless it has been verified on the live website.
9. When we share personal data
We do not intend to sell your personal data to third parties for their independent marketing purposes. We may disclose or make personal data available, where necessary and lawful, to the following categories:
- Authorised employees, counsellors, faculty and support personnel who need the information to handle an enquiry or provide a service.
- Website hosting, cloud, form, CRM, analytics, advertising, communication, customer-support, security and IT service providers engaged to support our operations. Our internally developed CRM may be used by authorised NSG Academy personnel to manage enquiries and follow-ups.
- Payment gateway or payment service providers, if you make a payment through a service we offer. Payment data handling will also be governed by the relevant provider’s terms and notices.
- Professional advisers, auditors, insurers or other service providers where necessary for legitimate business administration and subject to appropriate safeguards.
- Government authorities, courts, regulators, law-enforcement agencies or other parties where disclosure is required or permitted by applicable law or valid legal process.
- A successor entity or transaction counterparty in connection with a proposed or completed merger, restructuring, transfer or sale of all or part of the business, subject to applicable law and appropriate safeguards.
We seek to limit information shared with service providers to what is reasonably necessary for their services and to use appropriate confidentiality, security and data-processing safeguards. Some providers may process data under their own privacy terms or in locations outside India, depending on the services and configurations used.
10. Children and students under 18
Our services may be explored by school students or other individuals under 18. If we knowingly process personal data of a child, we will follow the requirements applicable under Indian law, including any applicable requirements relating to verifiable parental or guardian consent, restrictions on tracking or targeted advertising, and other child-data safeguards, subject to statutory exceptions and the commencement of the relevant provisions.
Parents or guardians who believe that a child has provided personal data to us may contact us using the details in Section 15. We will assess the request and take appropriate action as required by applicable law.
11. Data retention
We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, including responding to an enquiry, providing a service, maintaining appropriate student or business records, resolving disputes, protecting our systems and meeting legal obligations. Retention periods may differ by data category and purpose.
When personal data is no longer required, we will take appropriate steps to delete it, anonymise it or otherwise dispose of it securely, subject to legal retention requirements, legitimate dispute needs and applicable law. Retention periods may vary by category of information and purpose.
12. Security
We aim to apply reasonable technical and organisational safeguards appropriate to the nature of the personal data and the risks involved. Depending on the systems in use, safeguards may include access controls, limited staff access, secure hosting, software updates, backups, vendor due diligence and appropriate staff procedures. No internet transmission or storage system can be represented as completely secure.
If a personal-data breach occurs, we will assess and respond to it and provide notifications to affected individuals and/or authorities where required by applicable law.
13. Your choices and rights
Subject to applicable law and the commencement of relevant legal provisions, you may be entitled to request information about personal data we process, seek correction or updating of inaccurate data, request erasure where applicable, withdraw consent for processing based on consent, and raise a grievance. You may also opt out of promotional communications as described in Section 7.
Withdrawing consent does not make earlier lawful processing unlawful and may affect our ability to provide a service that depends on the relevant information. We may retain information where required by law or where another lawful basis applies. We may need to verify your identity before acting on a request and will respond in accordance with applicable legal requirements.
14. Third-party websites and services
Our website may link to third-party websites, social-media platforms, video platforms, messaging services, payment providers or other external services. Those services are operated by their respective providers and may have separate privacy policies and terms. This Policy does not govern their independent processing. Review the relevant provider’s notices before using those services.
